Segmentation & Broadcasts

WhautoChat lets you send targeted messages using segmentation and broadcasting. Here's how to use both features effectively.

πŸ” How to Create a Segment in WhautoChat​

  1. Open the WhautoChat app and click on the Segmentation menu.
  2. Click the Add Segment button.
  3. Fill in the segmentation details:
    • Segment Name: Give your segment a clear, descriptive name.
    • Workspace: Choose the workspace whose contacts you want to include.
      • πŸ“ If you don’t select a workspace, contacts from all workspaces will be included.
    • Contact Stage (Optional): Select a contact stage (e.g. Lead, Customer) if you want to target a specific stage.
    • Contact Tags (Optional): Filter contacts using one or more tags (e.g. β€œEnquiry”, β€œVIP”).
    • Exclude Contact Tags: Exclude certain tagged contacts (e.g. use a tag like "Unsubscribe" to stop sending marketing messages).
      • πŸ“ If contacts later re-subscribe, the segment updates automatically.
    • Last Activity (Days): Specify the number of days since the contact last interacted.
  4. Once all filters are set, click the Save button to create the segment.

πŸ“£ How to Send a WhatsApp Broadcast Message in WhautoChat​

  1. In the WhautoChat app, go to the Broadcast menu.
  2. Click the Add Broadcast button.
  3. Fill in your broadcast details:
    • Broadcast Name: Name your broadcast for easy reference.
    • Schedule: Select the date and time you want the message to be sent.
      • πŸ“ If no schedule is set, the broadcast sends immediately.
    • Broadcast Type: Select Contact as the type.
    • Recipients: Choose the target segment you created earlier.
    • WhatsApp Template: Search and select a pre-approved WhatsApp message template.
      • If the template has dynamic parameters (e.g. name, workspace), insert personalization variables using # (e.g. #Client Name, #Workspace).
  4. Before sending the broadcast:
    • Click Send Test Message (top-right corner).
    • Enter your mobile number and preview the message.
    • If everything looks good, click the Save button to schedule or send the broadcast.

After sending a broadcast, you can track its performance in real-time with detailed analytics. Here's how to access and understand your broadcast results:

  1. Open the WhautoChat app and go to the Broadcast menu.
  2. Find the broadcast you want to analyze, and click the View Analytics option in the action row.

πŸ“Š What You’ll See on the Analytics Page​

On the analytics page, you’ll find detailed metrics for your broadcast:

  • Messages Processed: Total number of messages handled.
  • Sent: Number of messages successfully sent.
  • Delivered: Messages that reached the recipient's phone.
  • Read: Messages opened by recipients.
  • Replied: Number of recipients who responded.
  • Failed: Messages that failed to send.

Note: The count displayed above is a rough estimate based on message statuses. Please export the broadcast logs to obtain the accurate count.

    • Retarget based on how contacts engaged with your previous broadcast:
      • All Sent Recipients
      • All Delivered Recipients

  2. Export Data
